Position Summary:

The Design Director will join the project team and is responsible for managing the Design of one or more Projects during all stages of design delivery: feasibility (budgeting & scheduling), design brief, concept, master plan, schematic design, design development, permitting (developer dossier, EIS, traffic, utility connections, fire-fighting, basic & technical design submissions), detailed design / tender documents, and IFC (Issued For Construction) documents, as well as analysis and/or management of design documentation preparation to be appended to proposal requests and variation orders during construction.

Duties:

  • Lead the design management, including one or more Design Managers, all design disciplines, equipment consultants and strategic partners, of prestigious high-rise retail-office-residential mixed-use projects in prime property locations in Ho Chi Minh City throughout their entire delivery cycle
  • Drive and monitor the performance of the Design Stage team stakeholders internal, as well as external, to Company
  • Foster continuous design quality improvement and value - within time and budget constraints of the Project
  • Foster the development of design options with associated advantages and disadvantages so that the Principal Design Director and Board of Directors can make fully informed decisions and the design cycle is minimized 
  • Undertake detailed issue investigation and problem solving to ensure sound, feasible and viable solutions are defined.Solicit and reconcilesales & marketing, technology manager, strategic partner, cost manager, construction managerand construction contractor inputs to design proposals
  • Review and render recommendations on the qualitative aspects of design development, i.e. appropriateness of solutions functionally, aesthetically and technically
  • Ensure that all design matters regarding the scope, quality, schedule and budget of the Project have the approval of the Principal Design Director and Company Board of Directors prior commitment
  • Review the Company Project Feasibility Study / Business Plan with focus on the Developer’s design objectives. Assess the design stage delivery schedule (in collaboration with the Company Planner),design cost expectations (in collaboration with the Company  Cost Manager) and Return On Investment (in collaboration with the Chief Financial Officer) in comparison to design schedule and design costs for previous projects of a similar nature in a similar market; advise the Principal Design Director and collaborate to reconcile the design schedule and design cost (and the design objectives, if appropriate) until approved by the Company Board of Directors
  • Prepare a cohesive design management process (i.e. the Project Execution Plan). After Principal Design Director and Board of Directors approval, distribute the relevant sections to the Companyproject team and external design team (in collaboration with the Document Controller) prior design commencement and ensure the approved process is adhered to throughout all stages of management planning and product delivery
  • Propose and coordinate the design delivery method and timeline(design works package strategy) (identification of all disciplines needed to complete the design stages) (in conjunction with the Construction Manager)consistent with permitting and construction works package strategy of the Project Milestones Schedule; collaborate with Sales &Marketing, the Project Planner & Strategic Partners to effect Milestones Schedule improvements, whenever prudent
  • Prepare the Preliminary Design Brief, review with Sales & Marketing and the Principal Design Director - garner approval, edit and publish to the DevelopmentTeam; collect and incorporate comments - reconcile conflicting information as may be necessary
  • Prepare the design stage Statement of Works (including the schedule of minimally required deliverables by stage) (including the Design Stages Responsibility Matrix), fully coordinating the scope of all lead and subconsultants to preclude scope gap in the design services,and, provide the detail and quality of services commensurate with the goals of the Design Brief.  Collaborate with the Commercial Manager to incorporate these provisions into the appendices to Requests for Proposals
  • Continuouslyinterrogate applicable design stage resources and contribute to the on-going development of anCompany data base; review the same with the development team to prioritize suppliers most likely to be aligned with the Developer’s and Project’s objectives
  • Lead the development team in aggregating the solicitation short list for all design stage services
  • Prepare, distribute, collect and tabulate design resource pre-qualification statements (in collaboration with the Company Commercial Manager& Document Controller)
  • Collaborate with the Principal Design Director and Commercial Manager to prepare the draft Design Services Agreement and proposed payment draw down schedule for each required design stage supplier 
  • Propose, review with the development team and prepare Evaluation Score Cards to further instruct short-listing, RFP preparation, design resource interviews and design contracts finalization
  • Collaborate with the Principal Design Directorand Commercial Manager to prepare Requests for Proposals for the design works
  • Administer the distributionofRequests for Proposals within required time lines
  • If warranted, organize and chair Pre-bid conferences
  • Monitor the collection of proposals and verify conformance (in collaboration with the Commercial Manager) with the bidding procedures of the Request for Proposal
  • Organize and chair the opening of design stage bids in the presence of the Principal Design Director and Developerstakeholders
  • Prepare the Design Stage Budget based on the optimally qualified bids received and collaborate with the Principal Design Director to assess and potentially adjust in comparison to the overall Project Budget
  • Final prepare Score Cards. Organize and chair Post-tender interviews
  • Collaborate with the Principal Design Director to prepare the Bid Placement Report and Recommendations; present in person the analysis and recommendations to the Company Board of Directors and document Board of Director instructions
  • In collaboration with the Principal Design Director, negotiate the terms of Design Stage Services endeavoring to meet or exceedBoard of Directors’aspirations
  • Prepare the scope sections and collaborate with the Principal Design Director, Commercial Manager and Company Legal to finalize the Design Services Agreements and pilot the same through the Board of Directors for approval
  • Review, assess, negotiate and forward recommendation upon Design Stage Sales & Marketing and Strategic Partner requests advising the Principal Design Director and Board of Directors on impact to schedule and budget
  • Manage the design requirements stated in the final executed contracts; report compliance on an ongoing basis but no later than once per month, at the end of each month, formally.  Include mitigation measures(in collaboration with the Project Planner) to recover schedule in the event actual progress falls behind planned progress
  • Collect and furnish to the Design Team all customarily prerequisite information such as metes and bounds, topography, existing conditions, geotechnical / hydrology reports, environmental reports, setbacksand other regulatory agency approvals or guidance
  • Manage the real-time collection and dissemination of all design information between the applicable parties; collect comments; contribute comments; cross-coordinate, confirm and distribute so that each instruction is clear and fully recorded to all parties
  • Track all Design Team and Developer Requests for Information, defining tasks and ownership, and, ensuring clear, complete and timely responses consistent with Project requirements
  • Prepare or supervise preparation of meeting minutes (with associated design packages, if appropriate) to be distributed within two working days of any design stage meeting
  • Finalize the Design Brief with the Design Team, expanding upon it to include the Design Team’s ideas as may be accepted by the Board of Directors
  • Monitor compliance with the approved Design Brief
  • Maintain the Design Issues Register and pilot timely resolution of the items
  • Identify and mitigate risks across all activities of project documentation. Report design stage risks to the Principal Design Director so that these can be amalgamated into the Project Risk Register  
  • Highlight critical design decisions made by the Developer stakeholders to the Principal Design Director so that these may be amalgamated into the Critical Decisions Register
  • Report design stages quality assurance deviations to the Principal Design Director so these may be amalgamated into the Quality Assurance / Quality Control Non-Conformance Register
  • At the outset of each Project’s design engagement, lead the design team in finalization of the Project Criteria Handbook, defining the Codes, standards and regulations upon which the total project design shall be executed.Pilot the presentation, in person, by the lead design consultants, of the analysis and recommendations to the Board of Directors and document Board of Directors’ instructions. Make modifications to the same based on review comments received. Pilot the approval of this document by the Board of Directors within timeframes required to maintain schedule
  • Organize and chair systematic meetings and workshops to develop, review and provide timely guidance and instruction to the design team
  • Monitor and report scope, quality and progress against the Design Brief and Project Milestones Schedule; prepare mitigation plans (in collaboration with the Project Planner) to recover schedule if actual progress falls behind planned progress
  • Advise the Principal Design Director of key accomplishments and risks each week
  • Contribute to themonthly Project Controls Group (PCG) and Investment Status reports, collecting relevant inputs of the Project Planner, Cost Manager, Construction Manager, and, Sales & Marketing
  • Review monthly invoices from design stage suppliers confirming that the work for which payment request is being submitted has been completed, is in good order and the design terms of the contract have been fulfilled
  • Review design gateway submission packages to confirm incorporation of Developer team comments, completeness, cross coordination between design disciplines and suitability for costing and Board of Directors decision making 
  • Schedule, chair and record the minutes of all gateway reviews and design control points
  • At design stages / control points completion, pilot the design documents throughout the Investor-Development Manager-Cost Consultant review process, enforcing discipline upon the time commitments necessary to maintain schedule.Transact all queries. Whenever more efficient, organize workshops in lieu of correspondence to resolve all issues
  • Prepare the Design StagesClose Out Reports for Principal Design Director & Board of Directors approval to include: purpose of the report, general design status, schedule conformance, cost estimate, value engineering, risks, client direction required, and Company Design Management recommendations. Present in person the analysis and recommendations to the Board of Directors and document Board of Directors’ instructions. Make modifications to the same based on review comments received. Pilot the approval of this document by the Board of Directors within timeframes required to maintain schedule
  • Organize, chair and document the Design Development stage hand over meeting between the international design team and the local team with focus on ensuring that the information transfer is complete and fully sufficient for the development team to smoothly progress the works
  • Monitor and interact to guide the finalization of all documents until Issued for Construction assuring that the approved design principles, concepts and design decisionshave been systematically carried forward; review and recommend the requirements for contractor submittals and control samples
  • After the finalization of all Issued for Construction documents, support the Construction Manager, when requested, providing design continuity information and review to ensure that the design goals of the project are realized in the finished constructed product.  Evaluate and / or guide the preparation of all proposal request or variation order design documentation
  • Assist in the preparation of market and product presentation materials to prospective investors, retailers, property managers, etc. 
  • Assist in planning and managing the preparation of the Developer’s Tenant Design Standards
  • Build, grow and manage long-term relationships with strategic partners, design professionals, contractors and vendors and capitalize on partnership opportunities to exemplify that The Company is a world-class developer of the highest integrity and the developer of choice to work for 

Your Skills and Experience

Required Qualifications: University Degree or Advanced Technical Degree in Architecture, Urban Planning or Civil Engineering and / or Project Management with broad and deep experience in the design development of projects in accordance with international and Vietnamese standards.Highest standard of confidentiality and discretion with all information pertaining to the Developer.

Preferred Qualifications: Professional Licensure inArchitecture, Urban Planning or Civil Engineering.  PMI or APM Credential. Significant experience working for a large and sophisticated developer and/or international design firm and/or international project management firm. Significant experience working on projects of a similar scale, scope, quality, schedule and budget as those undertaken by Company.

Required Experience: Fluent in design and construction terminology. Capable of reading and understanding plans and specifications of all design disciplines including civil, structural, landscape, architectural, interior design, structural, mechanical, electrical, plumbing and fire protection.10+ years of experience managing design and design documentation processes, ideally in mixed-use urban office-retail-residential and hospitality sectors. Adobe Acrobat Professionalproficiency and capable of using for mark-ups and annotations. Experience preparing permitting submissions to regulatory agencies. Experience working as a team member in a corporate setting on high-complexity projects is essential.  Passionately committed to quality, integrity and lifelong learning.

Preferred Experience: Experience working with teams of diverse national origins. 

Required Knowledge, Skills, and Abilities: Familiarity with international building codes and design / construction delivery methods. Deep experience in the full continuum of project delivery: feasibility, design brief, concept, master plan, schematic / basic design, permit, design development, detailed design / construction documents, tender documents, IFC documents, shop drawings-submittals including analysis and/or preparation of architectural documentation to be appended to proposal requests and variation orders.  Demonstrated successful Technical Documentation Leadership.  Knowledge of architectural design, building systems, construction and related design management strategies.  Dynamic communications skills to interface effectively with all staff levels, local design and construction team, executives, staff and other professionals.  Highly organized, efficient and accurate.  Energetic, enthusiastic and hard-working.  Ability to equally speak out and listen in meetings, draft and write detailed notes, provide oral and written communications, as well as maintain constructive professional relationships with designers, vendors, contractors and others by keeping projects organized and communicating orally and presenting the goals and requirements of the project in a clear and concise manner.Decisive decision-maker, able to synthesize information quickly and respond to competing priorities. Demonstrated ability to expedite complex projects and manage multiple project aspects simultaneously. Resourceful, creative and strong problem solver with solid organizational and teambuilding skills. Professional level writing skills appropriate for correspondence, reports, action plans and responses to various internal and external sources.  Must be able to produce succinct and professional graphic and report materials. Must work closely with Project’s Document Controller and document control system to assure integrity of the documentation library with version control.  Computer literate including proficiency with Adobe Acrobat Professional, Microsoft Excel, Word, PowerPoint, and Outlook.Basic knowledge of Building Information Modeling and Adobe Photoshopsoftware.Must be organized and task oriented, able to work in a fast-paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities. Experienced in review of shop drawings and submittals.
