The Job

Job purpose:

The Regulatory Affairs Executive is to support the affiliate business, brand NPL launches & supply chain management process by responsible for Product Notification process for launches of new brands, new products to the market within the timeline. Ensure the compliance of in-line products with local regulation through the product renewal notification process, formulas updates and other provisions of regulatory function. Support for costing of regulatory fees to tie up with operating expense and brands’ budget. It includes working within cross-functional teams consisting of Brands or Department representatives, and functional experts

Key Responsible:

1. Ensure Customer & Market Growth

  • Support Product Notification process for new brands, new product launches by checking and updating final name on CFS to master file; Working with PDS system to get the final name updated on time for New Launches; Checking and filing the Notification File; Support the Product Registration process to ensure:
  • Ensure all products are notified and are in compliance with Vietnam’s product regulation and ensure all product license are promptly renewed.
  • Follow up closely with global team to get Certificate of Free Sales (CFS), LOA, on time for product registration.
  • Ensure a copy of product notification for customer clearance are submitted on time every shipment. Verify Certificate of Origin (COO) with APAC Hub and, when needed, notify new COO before shipment arrival.
  • Liaise with brand team on the Vietnam label of new products or sets. Ensure sufficient Vietnamese labels to send to APAC Hub perform over-labeling process prior to shipment to Vietnam.

2.  Manages operation effectiveness

  • Report any new development, regulations or implementation from Government
  • Update and maintain list of notified items and license renewal in system
  • Processing and reconcile the invoice for service payment.
  • Register costing fee and processing regulatory payment on monthly basis to tie up with operation expense & budget.
  • Ensure all product registration records of affiliate comply with local regulation and Asia cosmetics directives.

3.Process Management

  • Support Supply Chain Management to develop process and policy to optimize or enhance operations smoothness and ensure delivery of results
  • Support Affiliate to implement processes and follow up/ track other functions compliance to process

4.Business Strategy/ Knowledge

  • Provide support, knowledge, feedback to Affiliate Brand teams for projects driven on a regional or global basis
  • Participate in resolution of any constraints and issues related to regulatory.
  • Measure and track regulatory performance

5.Change Management

  • Ability to quickly ramp up and grasp detailed functional content when engaged with other cross-functional team members
  • Positively drive changes and ensure goals and processes are moving forward towards excellence
  • Pro-actively participate in  ad-hoc projects & streamline processes as identified during course of work

6. Cross-Functional Collaboration

  • Collaborate within the Regional and Local teams regarding to order to cash, regulatory and projects
  • Support a monthly meeting with the Brands to review performance, potential risks, and issues. Keep appropriate parties aware of issues; and escalate issues early and appropriately
  • Ensure that the various departments collaborate to deliver best results

 7.Other tasks: as assigned by Supply Chain Manager

 

Your Skills and Experience

  • University Degree or College Degree.
  • Excellent communication skills, written and verbal. Able to communicate and influence people at all levels.
  • Excellent organizational skills, time management and follow up skills
  • Able to prioritize and handle several tasks simultaneously
  • Able to develop, recommend and implement new initiatives in regards to systems, procedures and processes.
  • Good business Acumen
  • Customer Service Orientation
  • Motivated, meticulous, possess an eye for detail in analysis for numbers with good business acumen. 
  • Ability to multi-task in a fast-paced environment
  • Excellent Computer office skills
  • Regulatory Affair experience preferred.
